Mic placement beats mic price: ten steps to sound better without buying anything

Somebody tells you that you sound muffled, or far away, or like you are calling from inside a washing machine. The obvious conclusion is that your microphone is cheap and a better one would fix it. That conclusion is wrong often enough to be worth a whole page, because the thing that decides how you sound is mostly geometry — where the microphone is relative to your mouth, and what the room does to everything else.

There is also a ceiling on what any microphone can do here. A live video call does not carry studio audio. Your voice is compressed hard so that it can survive a connection that has to fit picture and sound down the same pipe, in real time, with no chance to go back and correct anything. That compression sets a ceiling, and the ceiling is well below what the microphone already built into your laptop can produce. Under a ceiling like that, position is almost everything and price is almost nothing.

So this is a ten-step tour of the free fixes, roughly in order of how much difference they make. In practice the first three tend to deliver the bulk of the available improvement, in under a minute, without spending anything at all.

The short version. Find out where your microphone physically is. Halve the distance between it and your mouth. Get it off the desk you type on, out of the direct blast of your breath, and away from the fan. Use wired earphones so your speakers are not feeding the microphone. Then record twenty seconds of yourself and listen. If it still sounds bad after all of that, then and only then is the hardware worth a conversation.

Ten steps, cheapest first

Do them in order. Steps 01 to 03 are the big ones; everything after is refinement.

  1. Step 01Find out where the microphone actually is

    Not roughly — exactly. On laptops it is usually a pinhole or a short slot near the top of the screen, on the hinge, or along the front edge below the keyboard; some machines have two, spaced apart. On a phone it is normally a hole on the bottom edge next to the charging port, with a second one at the top. On earphones with a cable it is on the little control box or in the stem, not in the earpiece. Look for the hole and remember where it is.

    Why this first — you cannot aim something you cannot locate, and a surprising share of "bad microphone" is a person talking towards the top of a screen while the microphone listens from the front edge of the keyboard, or a hand resting over the only hole on a phone. Everything else on this page depends on knowing which point in space you are talking to.

  2. Step 02Halve the distance

    Whatever the gap is between your mouth and that hole, make it half. If you sit at arm's length from a laptop, move in, tilt the screen, or put the machine on a couple of books so the microphone comes up towards you. If you are holding a phone at chest height, bring it to just below your chin.

    There is a limit, and it is your breath rather than your voice: once you are close enough that people hear the air on your consonants, you have gone one step too far. A hand's width to a forearm's length from the microphone is the useful range for almost every built-in one. If leaning in ruins your camera framing, raise the whole machine instead of hunching — a stack of books under a laptop fixes the sound and the angle at the same time.

    Why it matters — this is one of the most effective free changes available. Sound falls off steeply with distance, so halving the gap makes your voice substantially louder at the microphone while the fan, the traffic outside and the room's own hum stay exactly where they were. Your voice does not get better; it gets bigger relative to everything you did not want. That ratio is what people mean when they say somebody sounds "clear".

  3. Step 03Take the microphone off the surface you type and thump on

    If the microphone is in the laptop and the laptop is on the desk, then the desk is part of your microphone. Every keystroke, every set-down of a mug, every knee that knocks the table underneath goes straight into the body of the machine and out the other end as a thud. Move the laptop onto something soft, or put a folded towel or a mousepad under it, or simply stop typing while you talk.

    The same applies to a phone. Lying flat on a table it picks up every tap and slide on that table, and often has one of its microphones pressed against the surface as well. Propped against something, on a soft mat, it stops being a contact microphone for your furniture.

    Why it matters — vibration travelling through a solid surface arrives at the microphone far more efficiently than the same noise travelling through air. This is why your typing sounds catastrophic to the other person and almost inaudible to you. It is also the cheapest thing on this page to fix, because it costs nothing at all.

  4. Step 04Talk towards it, but not straight into it

    Aim your voice at the microphone rather than over the top of it — then move your head very slightly to one side, so your breath is not landing directly on the hole. Ten or fifteen degrees off-axis is plenty.

    Why it matters — speech thrown past a microphone loses its high frequencies first, and high frequencies are what carry consonants. That is precisely what "muffled" is: a voice with the consonants worn off. Straight-on, though, and every "p" and "b" becomes a gust of air hitting the diaphragm as a low thump. Slightly off to the side keeps the clarity and loses the gusts.

  5. Step 05Give the room something soft to absorb into

    Look around while you are sitting where you sit. Bare walls, a large window, a hard floor, an empty desk? Pull the curtains, put a rug down, sit nearer a bookshelf, or move to the side of the room with the sofa in it. You are not building a studio; you are removing two or three of the flattest surfaces.

    Why it matters — in a hard room, the microphone hears your voice once directly and then again a few milliseconds later from every wall. Those repeats smear the consonants together, which is the hollow, distant, "calling from a bathroom" sound. Soft things absorb the repeats. This is also why the same laptop sounds fine in one room and dreadful in another.

  6. Step 06Turn off the steady noise before you fight the loud noise

    The fan, the air conditioning, the extractor, the open window facing the road, the desktop tower under the table. Kill what you can for the length of a conversation and reopen the window afterwards.

    Do this before you go looking for a noise-suppression setting. The order matters: software that has less to remove removes less of you along with it, and a quiet room makes every other step on this page work better than it otherwise would.

    Why it matters — constant background noise is the hardest kind for any noise-reduction system to separate from speech, because it never stops long enough to be measured against silence. When the software works too hard on it, it starts taking pieces of your voice with it, which is where that swimmy, underwater quality comes from. Remove the noise at the source and the processing has nothing to overreach on.

  7. Step 07Wear wired earphones instead of using the speakers

    Any wired earphones will do, even the cheapest ones in the drawer. If they have an inline microphone, that is a bonus rather than the point.

    Why it matters — when the other person's voice comes out of your speakers, your microphone hears it and sends it back to them. Echo cancellation exists to stop that, and it works by quietening your microphone whenever the other person is talking. That is why you get clipped off mid-sentence when you both speak at once, and why your first two words often go missing. Earphones remove the loop completely, so the cancellation has nothing to do and stops interfering with you.

  8. Step 08Record twenty seconds and listen to it

    Use the voice recorder on your phone from where your phone would sit, or any recording app on the computer, positioned exactly as you would sit in a call. Say a couple of ordinary sentences. Play it back with the earphones on.

    Listen for three specific things rather than a general impression: are the consonants crisp or smeared, is there an obvious room echo behind your voice, and how loud is everything that is not you. Those three map exactly onto steps 04, 05 and 02, so whichever one is worst tells you which step to go back and repeat.

    Why it matters — you never hear yourself the way anybody else does, and twenty seconds of playback tells you more than an hour of theory. It also makes the previous steps measurable: record once before you change anything and once after, and the difference between the two is the whole argument of this page in a form you can hear.

  9. Step 09Check which input the browser actually chose

    Open your browser's site settings for microphone and look at which device is selected. If you have a webcam, a headset and a laptop all plugged in, the one it picked is not necessarily the one you meant. Set it deliberately, then repeat step 08.

    Why it matters — this is one of the most common causes of "I did everything and nothing changed". You spent ten minutes optimising the position of a microphone that was not being used, because the browser quietly selected the one built into a monitor two feet behind your head.

  10. Step 10Only now think about spending money

    If you have done all nine and a recording still sounds poor, then hardware is a reasonable next step — and even then, the cheap thing that gets a microphone close to your mouth usually beats the expensive thing that sits across the desk.

    Why it matters — an expensive microphone in a bad position sounds worse than a laptop microphone in a good one, every time, and on a live call both of them are being squeezed through the same narrow voice channel at the end. Buying first is the expensive way to discover that the problem was the distance, the desk or the room.

Where people get stuck

"I switched to my wireless earbuds and got worse."
Expected, and it catches almost everybody. Most wireless earphones run in a high quality one-way mode for listening, and switch to a much narrower two-way mode the moment their microphone is enabled, because the link has to carry audio in both directions at once. The music-grade sound disappears and both your voice and theirs get thinner. Wired earphones have no such trade-off, which is why step 07 says wired.
"They say I am too quiet, but my level meter looks fine."
A meter shows how loud the signal is, not how much of it is you. Turning the input gain up raises your voice and the room together, so the quiet stays quiet in the way that matters. Distance is usually the one control that actually changes the ratio. Go back to step 02 before touching any slider.
"My phone sounds worse than my laptop even though the camera is better."
Check what is covering the bottom edge. A thick case, a stand, a palm wrapped around it, or the phone lying face-up on a table with its microphone pressed against the surface will all muffle it. Phone microphones are usually decent; they are just easy to block by accident.
"Everyone hears a hiss."
Try a different port, and try unplugging the hub. Hiss and whine that follow a device around are usually electrical rather than acoustic — a cheap adapter, a hub sharing power with a charging phone, or a laptop that only does it while plugged in. Swapping the socket takes ten seconds and identifies it immediately.
"It sounds fine to me but people keep asking me to repeat things."
That is what step 08 is for, and it is worth doing before assuming the other person's connection is at fault. If the recording is clean and people still struggle, the fault may genuinely be on the line rather than in the room — working out whose side a call is breaking on is a separate check, and distance between the two of you plays its own part in how a long-haul call behaves.
"There is someone else in the house and I cannot fix the noise."
Then work on the ratio instead of the noise, which is what step 02 was really about. Getting closer to the microphone raises your voice without raising the television in the next room at all, and wired earphones stop the call itself adding to the racket. A door, a curtain and half the distance will beat any amount of software filtering.
"I would rather just mute and type."
Perfectly reasonable, and every call has a control that mutes your own microphone for exactly that. It is worth knowing that muting yourself while somebody else is talking is also the polite fix for a noisy environment — see the etiquette guide for the rest of the unwritten rules.

Why this is worth ten minutes

Sound does more work than picture in a conversation with somebody new. A slightly soft or frozen image is easy to forgive; a voice that has to be decoded is exhausting after about ninety seconds, and people leave those conversations without quite knowing why. When you are meeting a stranger and both of you are deciding within the first minute whether this is going anywhere, being easy to listen to is a genuine advantage.

None of that requires equipment. It requires knowing where the hole is, being closer to it, keeping the desk and the fan out of it, and wearing the earphones already in your bag. Ten minutes once, and every conversation after it starts with the other person able to hear you properly — which, when you are meeting somebody new on video, is most of the first impression.
